What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

If you submit information through a contact form, we will save that information and use it to respond to you as requested.  It may be accessible to the Still Mountain Board, Teachers, and others affiliated with Still Mountain.  Please do not submit any sensitive or confidential information.

We collect and store information you submit to us when making a booking for an event, for the purpose of reserving your requested spaces at our event and maintaining a record of attendance.  We may use cookies to temporarily store information about a booking in progress as well as any error/confirmation messages whilst submitting or managing your events and locations.

Still Mountain stores an address list which is visible to logged in users of the website who have opted in to being included in the address list. If you have an account, you can opt whether or not your personal data appears on the address list.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.

We use Google services to generate maps and provide autocompletion when searching for events by location, which may collect data via your browser in accordance to Google’s privacy policy.

Analytics

Your IP address and browser information may be temporarily stored in server log files as part of assuring that our web server hardware and software is performing correctly and is able to deliver to you the content you request.

We track usage statistics for our website using the Matomo Analytics platform. These statistics are generated and stored in a format that does not contain any personally identifiable information. Analytics are stored on our web servers. They are available to the Still Mountain Board and others affiliated with Still Mountain. They are not provided to any third party analytics or tracking services.

This site utilizes caching in order to facilitate a faster response time and better user experience. Caching potentially stores a duplicate copy of every web page that is on display on this site. All cache files are temporary, and are never accessed by any third party, except as necessary to obtain technical support from the cache plugin vendor. Cache files expire on a schedule set by the site administrator, but may easily be purged by the admin before their natural expiration, if necessary.

Who we share your data with

Our website technology partner is Interserver, Inc. Server log files, content, email communications, and other data transmitted to or from our servers may be accessible to Interserver staff for the purposes of ensuring your ability to access these services.

This website can send emails through the MailPoet Sending Service. This service allows us to track opens and clicks on our emails. We use this information to improve the content of our emails.

Information about visitors who leave comments is shared with the Akismet anti-spam service. The information may include the commenter’s IP address, user agent, referrer, and Site URL (along with other information directly provided by the commenter such as their name, username, email address, and the comment itself).

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store the personal information they provide in their user profile and household address and person information. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Email

If you have subscribed to our mailing list or if you are a member of our website (you can log in), there is a good chance you will receive emails from us. We will only send you emails which you have signed up to receive, or which pertain to the services we provided to you. We may also send emails in response to requests or other information you send to us.

To send you emails, we use the name and email address you provide us. Our site also logs the IP address you used when you signed up for the service to prevent abuse of the system.

If you have an account, you can opt to receive or not receive phone calls, email and mail letters. We will do our best to respect your preferences.
